If you apply for an assignment, your status will be set to "pending", meaning you are available and wish to carry out the assignment. The employer will then make a choice from the candidates, after which you still need to confirm the assignment.
You have a match with an employer when they have chosen you for the assignment. You will receive a notification via email or an app notification asking you to confirm your candidacy. After this, a match is created. The status of your assignment will now be set to "scheduled". Note that if you have a match, you are required to carry out the assignment.
No match yet? Then you cannot make direct contact with the employer. Match? Then you will receive the contact details of the employer. These are visible when you open the assignment on the platform for which you have been scheduled. From then on, you can contact each other directly.
A posted assignment includes all hours and days for that assignment. You must be available for all specified times of this assignment before applying for it. An assignment lasts a maximum of 7 consecutive days and is always for the same healthcare professional. You cannot apply for part of the assignment. Example: May 1st - May 6th (this is 1 assignment and you can work all days). May 1st - May 3rd - May 4th (this is 1 assignment and you can work all days). May 1st (this is 1 assignment and you can work this day).
The overview page clearly displays the hourly rate per assignment. In the details of the assignment, you can also see the full assignment. So you can see in advance how much you will be paid to carry out the assignment. Employers determine the hourly rate entirely by themselves. ClickCare has no involvement in this. In the details of the assignment, you always see the earnings (number of hours x hourly rate), excluding the 7% service fee.
Registering, viewing assignments, and applying for assignments is completely FREE. Only when there is a match, 7% (including VAT) of the invoice amount is deducted for the use of ClickCare.
The amount you see on the platform is exclusive of the 7% service fee for ClickCare. Afterwards, a 7% service fee is deducted from the invoiced amount.
Both you and the employer can "contest" an assignment. This allows you to adjust the hours you worked by using the "contest" button on the assignment. Do this within 48 hours after completing the assignment. If you do not do this within 48 hours after the end of the assignment, these hours will automatically be considered as "to be invoiced". The employer will receive a notification that the hours have been contested and can respond with "agree" or "disagree". If the employer does NOT respond within 72 hours after the dispute, the contested hours will be considered as "to be invoiced". If the healthcare professional agrees, the contested hours will be invoiced. If the healthcare professional disagrees, please contact info@clickcare to resolve the dispute together. An assignment is completed when you have completed all scheduled days for that assignment and the status of your assignment is "completed".
If the corrected hours are contested in a timely manner, the healthcare professional and the employer will contact each other to resolve the dispute. ClickCare does not intervene in the aforementioned dispute.
Pending: You have applied for an assignment, and this candidacy is pending. If the employer chooses you and you confirm the assignment, your status will change to "Scheduled".
Scheduled: An employer has accepted you for an assignment. You are now scheduled to carry out the assignment and are expected at the specified date and location.
Executed: The assignment has been executed but not yet invoiced. Disputes can still occur.
Contested: See: "What if I worked longer than specified in the assignment?"
Completed: The assignment has been carried out and will be invoiced.
Mediated: If you have not reached an agreement for the disputed hours, your status will be mediated.
Yes, you can. You will always be asked to confirm if you are accepted for an assignment. Your candidacies for other assignments at concurrent hours will be automatically removed when you confirm an assignment.
If you apply for an assignment, the employer will choose a candidate based on their profile, experience, reviews, recent work experiences at the location of the assignment, etc. Reasons for not being selected for an assignment can include:
You have applied for an assignment and you want to withdraw your application? If your status is still "pending", it is possible to withdraw your application by clicking on "withdraw application" at the top right.
Attention! If your assignment is "scheduled", you cannot cancel the assignment via the platform. Employers rely primarily on your presence. If you cannot attend due to illness or force majeure?
Inform ClickCare and the employer as soon as possible by email and/or phone. You are responsible for this yourself. ClickCare can then take the necessary steps to cancel the request.
If you cancel within 7 days before the start of your assignment, we ask you to submit a medical certificate or certificate of force majeure. If you do not have a certificate, a compensation of 100 euros may be charged. If you cancel more than twice outside the 7-day period before the start of your assignment and you do not have a medical certificate or certificate of force majeure, a compensation of 100 euros may be charged.
If you do not cancel and you are absent from your assignment without notification, a compensation of 250 euros will be charged. In the above cases, the employer also has the right to claim compensation.
Therefore, please read the General Terms and Conditions regarding cancellations carefully (at the bottom of our website) before you cancel.
On our platform, we use statuses to manage the invoicing process. Invoices that are marked as "completed" before 6 AM on Monday will be invoiced on Monday.
If you have performed multiple assignments for the same employer in one week, these assignments will be bundled on one invoice. Once the invoices are available, you will receive an email notification. You can easily find and download your invoices on your profile under 'My Invoices'. On your profile, you will find an invoice overview, an invoice from you to the employer, and an invoice from ClickCare for the service fee. On Tuesday, the invoice will be sent to the employer with a request for payment to ClickCare.
Once we receive the funds from the healthcare institution, they will be deposited into your account, with a Service Fee of 7% including VAT deducted. The entire process typically takes 4-6 weeks on average, but the actual duration may vary depending on when the employer makes the payment.
Once you have posted your assignment online, healthcare professionals can apply to it. After this, you can see under “open assignments” and “applications” how many and which healthcare professionals have applied for your assignment. You can select one of them based on the profile. Have you accepted a healthcare professional? Then he/she will receive a notification of this for confirmation. Has the candidate confirmed, then he/she is scheduled. If you accept one candidate, the others are automatically notified that the assignment has been filled. After this you will get the contact information of the healthcare professional to make any further appointments.
Do you accept a candidate for your assignment? Then the healthcare professional receives a notification of this for confirmation. When the healthcare professional confirms the assignment, you have a match! This healthcare professional will carry out the assignment. Have you not yet received confirmation from the care professional or do you want to choose another candidate? In the meantime, you can refuse the care professional and choose another candidate.
Yes, you can if there is no match yet. Go to the assignment, press the three dots at the top right and choose 'remove assignment'. Attention: if you already have a match, you contact us via info@clickcare.be , you inform the healthcare professional who has been scheduled and we cancel the assignment. The healthcare professional keeps his availability free to carry out your assignment. Be sure to read the cancellation terms and conditions at the bottom of our website.
You cannot cancel a scheduled assignment yourself. This can only be done by contacting info@clickcare.be. You need to inform the candidate of your cancellation. The healthcare professional keeps his availability free to carry out your assignment. Please read our General Terms and Conditions regarding cancellations.
All our healthcare professionals are independent, they decide for themselves whether they want to work multiple shifts in a day or not. They are not bound by legislation for this.
Would you like a healthcare professional to work an extra day that was not provided for in your assignment? Then place an extra assignment on which the candidate applies. You can also always email info@clickcare.be and then ClickCare can schedule the assignments with the candidate in question.
Both the client and the healthcare professional can “dispute” an assignment. This allows you to adjust the hours the healthcare professional has worked via the “dispute” button next to the assignment. Do this within 48 hours of completing the assignment. If you do not do this within 48 hours after the end of the assignment, these hours are automatically seen as “ to be invoiced”. The healthcare professional receives a notification that the hours were disputed and can respond with “agree” or “disagree” . If the healthcare professional does NOT react within 72 hours after the dispute, the disputed hours are considered as “to be invoiced”. If the healthcare professional responds with agreement, the disputed hours are the hours to be billed. Does the healthcare professional respond with “disagree”? Then contact info@clickcare.be to work out the disagreement together.
Pending: This status indicates "pending" when you have confirmed a candidate and he/she has not yet responded to the confirmation. You can still reject this candidate if he/she does not confirm in time or if you want to choose another candidate.
Scheduled: An assignment is marked as "scheduled" when you have accepted a candidate for an assignment. The assignment has not yet been executed but is scheduled.
Executed: The assignment has been executed but has not yet been invoiced. Disputes can still occur.
Contested: See question "What if a healthcare professional has worked longer/shorter than expected?".
Completed: The assignment has been executed and can be invoiced.
Mediated: There is no agreement yet on the disputed hours. The status remains mediated until this is resolved between both parties.
ClickCare prepares a selfbill on behalf of the healthcare professional and collects the invoice amount on 1 account. In addition to a payment statement and the selfbill, you will also receive an invoice from ClickCare for the 14% service fee. Both invoices are mailed on 1 statement. Due to the use of selfbilling, in most cases no VAT is due on the healthcare provider's invoice. The Service Fee of 14% does not include 21% VAT. Invoices are sent weekly on Tuesdays. If the same healthcare professional has performed multiple assignments in the same week, these services will be bundled on 1 invoice. You then have 14 days to pay the invoice according to our invoice terms. + More information can be found in our General Terms and Conditions.
ClickCare receives payment from the principals, pays the care professionals and provides them with the necessary supporting documents. ClickCare pays out the healthcare professionals when the money was collected from the principals.
At ClickCare, as a healthcare professional, you decide how much you will pay per hour for a healthcare professional. If you set an amount that is lower than the average hourly rate for independent healthcare professionals, you have less chance of a match. If the need is high and you set a higher rate, the chance of a match is higher. The care professionals working through ClickCare are all self-employed with their own insurance, social security, transportation costs, equipment if needed, etc. The rate you pay the care provider includes all these costs.
At ClickCare, 95% of the amount spent actually goes to the healthcare professionals. We strive for a fair remuneration system without high agency fees.
The employer freely determines the hourly rate of the healthcare professional. No extra surcharges are applied. ClickCare provides guidelines for market-conforming rates based on CP 330i. The following amounts indicate the average minimum rates that increase the chance of a match:

You only pay ClickCare when an assignment has actually been completed. Registering and placing assignments is completely FREE. Do you have a match and was an assignment carried out? Then as a user you pay 14% (excluding 21% VAT) on the invoice amount of the healthcare professional for using ClickCare. This cost is always calculated in advance and is clearly visible when you place an order. So you know in advance what the healthcare professional + ClickCare will cost.
Assignments for nursing and healthcare professionals can be placed throughout Belgium. Assignments for pharmacies can be placed in Flanders as from June 1, 2024.
