What steps do I need to complete after registration?

Once you have created an account on ClickCare, you can immediately view assignments in your region and apply for them. Use the language, region, and diploma filters to quickly find the assignments that suit you best. When applying for an assignment, you can check the box to automatically confirm the assignment if you are selected by the client. If you are not yet sure whether you want to accept the assignment for example, because you also want to apply for other assignments it is better to leave this box unchecked for now.

Before you start applying for assignments, make sure your profile is fully completed. Add your experience neatly and accurately, along with your details such as your visa number and business registration number (or RIZIV/INAMI number if you want to work in home nursing), and the necessary documents such as your insurance certificate and an extract from the criminal record. This increases your chances of a good match.

What insurance do I need?

As a self-employed healthcare provider, you are legally required to take out professional indemnity insurance. In addition, you can choose to take out other policies, such as Income Protection insurance, so that you receive a replacement income during your recovery period in the event of illness or an accident.

Do I need an accountant?

As a self-employed healthcare provider, you can easily keep track of your own accounting, but you don't have to. Our partner Dexxter offers all ClickCare members a discount when signing up for their platform. Discover Dexxter

Assignments & Applications

Which assignments can I apply for?

You can apply for all assignments that match your diploma and language skills.

What does it mean when I apply for an assignment?

When you apply for an assignment, your status will change to "pending," meaning you are available and wish to carry out the assignment. The client will then choose from the candidates. You can choose to enable the "automatic confirmation of assignments" feature in your profile settings. If you have checked this box and the client selects you, you will be scheduled for this assignment immediately.

For every assignment, you will also be asked whether you want to turn this feature on or off for that specific assignment. If you turn the feature off, you will need to confirm a second time whether or not you will carry out the assignment after being selected.

Are you applying for an assignment that starts within 24 hours? Then you will be scheduled automatically if the client selects you. This cannot be disabled. If you are working through our platform for the first time and want to apply for an assignment starting within 24 hours, you will still need to confirm a second time if you are selected.

Can I apply for multiple assignments?

Yes, you can. If you are scheduled for an assignment, all your other applications will automatically be canceled.

Can I cancel an application for an assignment?

If you have applied for an assignment and wish to withdraw your application while your status is still "pending," you can do so by clicking "withdraw application" in the top right corner.

Please note! If your assignment status is "scheduled," you cannot cancel the assignment via the platform. Clients rely primarily on your presence. If you are unable to attend due to illness or force majeure, please notify both the client and ClickCare as soon as possible, at least by email. If the assignment you want to cancel starts within 24 hours, contact the client by phone and email, and email ClickCare. You are personally responsible for this. ClickCare can then take the necessary steps to cancel the request.

If you cancel within 7 days before the start of your assignment, we ask you to submit a medical certificate or proof of force majeure within 48 hours. If you do not provide a certificate, a €100 compensation fee may be charged. If you cancel more than twice outside the 7-day window before the start of your assignment without a medical certificate or proof of force majeure, a €100 compensation fee may also be charged.

If you do not cancel and fail to show up for your assignment without notice (no-show), a €250 compensation fee will be charged. In the above cases, the client always reserves the right to claim compensation independently.

Therefore, please carefully read the Terms and Conditions regarding cancellations (at the bottom of our website) before you cancel.

I cannot apply for assignments

If you have completed your registration and your profile is filled out, but you still cannot apply for assignments, this is usually due to a missing visa number or a business registration number that is no longer active. Need help? Feel free to contact us at info@clickcare.be.

Matches & Selection

What is a "match"?

You have a match with a client when they have selected you for the assignment. You will receive an email notification or a push notification in the app when a client has chosen you to carry out the assignment. Depending on whether the assignment starts within 24 hours or if you have enabled automatic confirmation, you will be scheduled for the assignment immediately. If you have not enabled this, you will need to confirm a second time. Once confirmed, a match is created, and the status of your assignment will change to "scheduled."

Please note: once you have a match, you are required to complete the assignment.

How can I increase my chances of a match?

You can increase your chances of a match by completing your profile fully and professionally. An up-to-date CV quickly gives clients a good idea of your experience and skills. Choose a clear, friendly profile picture that inspires trust, and avoid holiday photos or blurry images. Add an extract from your criminal record to your profile, as healthcare institutions often prefer candidates who can provide this. Clearly indicate which care types you are available for, such as pediatrics or emergency room, and add any extra certificates or specializations. The more complete and professional your profile, the greater the chance of being quickly matched with a suitable assignment.

Why was I not selected for the assignment?

When you apply for an assignment, the client selects a candidate based on their profile, experience, reviews, recent work experience at the location of the assignment, etc. Reasons for not being selected may include:

  • Your profile does not match the assignment. Tip: fill out your profile thoroughly with all your experience and diplomas (see How can I increase my chances of a match?).
  • There are multiple candidates for this assignment. Sometimes there are 20 or more candidates for a single assignment, making the chances of being selected relatively small. Don't worry, we always have a wide range of assignments online, so be sure to check out our open positions!
  • The client prefers candidates who are available for multiple assignments. Tip: apply for multiple assignments from the same client.
  • The client prefers candidates who are already known to them.

Contract & Cooperation

How is the contract between me and the client handled?

Through ClickCare, you do not sign a traditional employment contract as a self-employed healthcare professional, but rather a cooperation agreement per assignment. As soon as you accept an assignment and the client confirms your application, a "Match" is created, which serves as the contract between both parties. ClickCare acts solely as an intermediary providing the platform and handling invoicing, but is not a party to the content of the agreement. The arrangements regarding hours, rate, and execution are fixed within that Match.

Can I contact the client?

If you do not have a match yet, you cannot contact the client directly. Once a match is made, you will receive the client's contact details. These will be visible when you open the scheduled assignment on the platform. From that moment on, you can contact each other directly.

What is the duration of an assignment?

A posted assignment covers all the hours and days specified for that position. You must be available for all the stated times before applying. If you have a question about the duration or if you are only available for part of the assignment, please contact info@clickcare.be, and we will look into the possibilities together.

What are the rules for overlapping assignments?

Different clients:

❌ Declined – Time between assignments is 29 minutes or less. Example: Assignment A ends at 12:00. A new Assignment B may not start at 12:29 (or earlier).

⚠️ Allowed with warnings (both parties) – Time between assignments is between 30 and 90 minutes. Example: Assignment A ends at 12:00. Assignment B starts at 12:30. This is allowed, but you will receive a warning. Example: Assignment A ends at 12:00. Assignment B starts at 13:30 (90 min gap). This is also allowed, with a warning.

✅ Allowed – Time between assignments is 91 minutes or more. Example: Assignment A ends at 12:00. Assignment B starts at 13:31.

Same client:

❌ Declined – An overlap of 61 minutes or more. Example: Assignment A runs from 08:00 to 12:00. Assignment B may not start at 10:59 (or earlier), as the overlap would be 61 minutes.

⚠️ Allowed with warnings (both parties) – An overlap of up to 60 minutes or a gap between assignments of up to 90 minutes. Example: Assignment A (08:00–12:00) and Assignment B (11:00–14:00). This is allowed (30 min overlap) but triggers a warning. Example: Assignment A ends at 12:00. Assignment B starts at 13:30 (90 min gap). This is also allowed, with a warning.

✅ Allowed – Time between assignments is 91 minutes or more. Example: Assignment A ends at 12:00. Assignment B starts at 13:31.

Execution & Practical Info

What do the statuses mean: Pending, scheduled, performed, disputed, completed?

Pending: You have applied for an assignment; your application is currently under review. If the client selects you and you opted for automatic confirmation (or confirm manually), your status changes to 'scheduled'.

Scheduled: A client has accepted you for an assignment. You are now scheduled to carry out the assignment and are expected at the specified date and location.

Performed: The assignment has been completed but not yet invoiced. It can still be disputed.

Disputed: See: What if I worked longer than specified in the assignment?

Completed: The assignment has been executed and is being invoiced.

Mediated: If you have not reached an agreement regarding disputed hours, the status will change to 'mediated'.

What if I worked longer than specified in the assignment?

Both you and the client can dispute the registered hours of an assignment. You can do this via the "dispute" button on the assignment page, allowing you to adjust the actual hours worked.

Important: assignments are automatically invoiced on the 1st and 15th of each month. If neither party (healthcare professional or client) disputes the hours more than 48 hours before that date, the entered hours will automatically be considered billable and will be invoiced.

When you dispute an assignment, the client will receive a notification and can respond with "agree" or "disagree":

If the client does not respond within 72 hours, the disputed hours will automatically be processed for invoicing.

If the client agrees, the disputed hours will be invoiced.

If the client disagrees, please contact info@clickcare.be so we can review the situation together.

An assignment is finalized as soon as you have completed all scheduled days and the status is set to "completed."

Remuneration & Invoicing

How much will I be paid for an assignment?

The hourly rate is clearly displayed on the overview page for each assignment. In the assignment details, you can also see the full layout of the job, allowing you to know in advance how much you will be paid. Clients determine their hourly rates entirely independently. ClickCare has no say in this, although we always advise market-conform rates. In the assignment details, you will always see your earnings (number of hours x hourly rate) as well as the amount with ClickCare's 7% service fee already deducted.

How much does using ClickCare cost me as a healthcare professional?

Registering, browsing assignments, and applying is completely FREE. Only when a match is made, a 7% service fee (VAT incl.) is deducted from the invoice amount for the use of ClickCare. You can transparently view the amount both including and excluding the 7% ClickCare service fee for every assignment.

How does the invoicing and payment process work?

ClickCare takes care of the entire invoicing process. Every two weeks (on the 1st and 15th of the month), we invoice all assignments with the 'completed' status on behalf of the healthcare provider. As soon as the invoices are available, you will receive a notification and can download them via your profile. There you will find:

  • a detailed payment overview,
  • an invoice from you to the client for the services provided (self-billing),
  • and ClickCare's invoice for the service fee.

ClickCare sends the invoices directly to the client and actively monitors the payment. As soon as the client has paid, we transfer the amount directly to your account, minus the 7% service fee (incl. 21% VAT). The average processing time is 4 to 6 weeks.

When will I be paid?

When will I be paid? As soon as we receive the payment from the client, we transfer the amount directly to your account, minus the 7% service fee (VAT incl.). On average, this happens within 4 to 6 weeks after the invoice date, depending on when we receive the payment from the client.

What about VAT and my status as a self-employed healthcare provider with ClickCare?

As a self-employed healthcare professional, you maintain your liberal profession status and are exempt from VAT on your healthcare services. Therefore, no VAT is charged on your hourly rate. However, the service fee you pay to ClickCare (5.8% excl. VAT / 7% incl. VAT) is subject to VAT. This is standard, as it concerns a service provision and not healthcare provision. These costs are tax-deductible and can be included in your accounting.

Is Peppol mandatory for healthcare providers?

No. If your business only performs transactions that are exempt under Article 44 of the VAT Code, you are not required to participate. Most healthcare providers, such as nurses and healthcare assistants, are not subject to VAT and are therefore exempt. If you are unsure whether you only perform VAT-exempt activities, be sure to check with your accountant or advisor.

Even though there is no obligation, we notice that many healthcare professionals still choose to participate.

You will be paid according to the IFIC scale or the barema (salary scale) used by the client. Your wages are paid out weekly. In addition, you will also receive bonuses for night, weekend, evening, split shifts, and public holidays.

How much does using ClickCare cost me as a healthcare professional?

There are no additional costs associated with working via temporary agency work (interim) at ClickCare.

How does the invoicing and payment process work?

You will receive your wages correctly and paid out weekly for the days worked during the previous week (Monday to Sunday).

When will I be paid?

You are paid weekly.

Choosing & Matching Healthcare Professionals

How can I choose a healthcare professional?

Once you have posted your assignment online, healthcare professionals can apply for it. Afterwards, under "open assignments" and "applications," you can see how many and which healthcare professionals have applied for your assignment. You can select one of them based on their profile. The overview also shows whether a healthcare professional has previously worked in your healthcare institution. Additionally, the heart icon allows you to see which healthcare professionals you have marked as a 'favorite'. Their ClickCare CV provides all the information regarding their experience and education, enabling you to make a well-informed choice.

What happens after I choose a healthcare professional?

Once you accept a healthcare professional, they will receive a notification for confirmation. As soon as the candidate confirms, they are scheduled. If the healthcare professional has enabled 'automatic double confirmation' (indicated by a lightning bolt icon), they do not need to confirm manually, and the assignment is scheduled automatically. If the assignment starts within 24 hours, double confirmation is no longer required. As soon as you accept one candidate, the other candidates are automatically notified that the position has been filled. You will then receive the healthcare professional's contact details to make any further arrangements.

What is a "match"?

When you accept a candidate for your assignment, the healthcare professional receives a notification for confirmation. As soon as the healthcare professional confirms the assignment, a match is created. If the healthcare professional has enabled 'automatic double confirmation', they do not need to confirm manually, and the assignment is scheduled automatically. If the assignment starts within 24 hours, double confirmation is no longer required. The healthcare professional with whom you have a match will carry out the assignment.

For which region can I post an assignment?

Assignments for nurses and healthcare assistants can be posted throughout all of Belgium.

Managing Assignments

Can I remove an assignment from the platform?

Yes, you can, provided there is no match yet. Go to the assignment, click the three dots in the top right corner, and choose 'delete assignment'.

Please note! If a match has already been established, please contact us via info@clickcare.be. See also "Can I cancel a scheduled assignment?".

Can I cancel a scheduled assignment?

You cannot cancel a scheduled assignment yourself via the platform; this can only be done by contacting info@clickcare.be. You must also notify the healthcare professional yourself, as they are keeping their availability open to carry out your assignment.

As a client, you can cancel an assignment free of charge if it is done more than 7 days before the start date. If you cancel within 7 days, it can only be done free of charge in cases of force majeure and if reported promptly via email. Without a valid reason, ClickCare may charge a cancellation fee.

Therefore, please make sure to read our Terms and Conditions regarding cancellations.

Can a healthcare professional work multiple shifts in one day?

As far as self-employed healthcare professionals are concerned, they decide for themselves whether or not they want to work multiple shifts in a day. They are not bound by legislation for this.

For healthcare professionals working via temporary agency work (interim), this is legally regulated: they are not allowed to work multiple shifts per day, unless it concerns a split shift (onderbroken shift). An early shift following a night shift is also not permitted. These rules are legally established and apply in the same way as they do for your own permanent employees.

I am satisfied with a healthcare professional and would like to schedule them for multiple/extra days?

If you want a healthcare professional to work an extra day that was not originally scheduled in your assignment, you can post an additional assignment for which the candidate can apply. You can extend the assignment by copying it and inviting that specific healthcare provider to execute it.

You can also always email info@clickcare.be, and ClickCare can schedule the assignments with the respective candidate for you.

Execution & Changes During Assignment

What if a healthcare professional worked longer/shorter than anticipated?

For healthcare professionals via interim:

You can dispute an assignment until the Monday of the week following the executed assignment.

For self-employed healthcare professionals:

If the scheduled hours do not match the hours actually worked in practice, both the healthcare professional and the client can dispute them via the "dispute" button on the respective assignment page. Preferably do this within 48 hours after execution, and in any case no later than 48 hours before the invoicing dates (the 1st and 15th of the month); if the hours are not disputed in time, they automatically count as final and billable. In the event of a dispute, the other party receives a notification and has 72 hours to respond with "agree" or "disagree": without a response, the disputed hours become billable; if agreed, the adjusted hours are invoiced; and if they "disagree," please contact info@clickcare.be so ClickCare can mediate.

If the healthcare professional fails to show up without notice, the client is not obliged to pay for the assignment.

You can still reject the candidate if they do not confirm in time or if you wish to select another candidate. Note: if an assignment starts within 24 hours, the healthcare professional does not need a double confirmation, and the status automatically changes to scheduled as soon as you choose the candidate.

Scheduled: An assignment is scheduled when you have accepted a candidate for a job. The assignment has not yet been executed but is planned.

Performed: The assignment has been completed but not yet invoiced. It can still be disputed.

Disputed: See the question "What if a healthcare provider worked longer/shorter than anticipated?".

Completed: The assignment has been executed and can be invoiced.

Mediated: There is no agreement yet on the disputed hours. Until this is clarified between both parties, the status will remain as mediated.

Invoicing & Payment

How does invoicing work?

You will receive a consolidated weekly invoice for all healthcare providers who worked within your healthcare institution during the previous week (Monday to Sunday). This invoice includes all services rendered and is delivered via Peppol and/or by email as a PDF.

Can invoices also be sent via Peppol?

Yes, they can. You can indicate in your profile that you wish to receive invoices via Peppol.

How does payment work?

ClickCare pays the healthcare professionals weekly. You receive a consolidated weekly invoice for all healthcare providers who worked within your healthcare institution during the previous week (Monday to Sunday).

Costs & Rates

How much does a healthcare professional via interim cost?

The healthcare provider is remunerated according to IFIC or your own barema (salary scale). An interim coefficient is applied to this, which we charge as a temporary agency fee. In addition, additional costs are passed on, such as meal vouchers, eco-cheques, any medical examinations, and other expenses (non-exhaustive list).

On the platform, you will see a wage indication when you select a candidate. This simulation provides an estimate of the cost price but may slightly differ from the final total amount due.

How much does a self-employed healthcare professional cost?

At ClickCare, as the client, you determine yourself how much you pay per hour for a healthcare professional. If you set an amount that is lower than the average hourly rate for the respective self-employed healthcare professionals, you have less chance of a match.

If the need is high and you propose a higher rate, the chance of a match is greater.

The self-employed healthcare professionals working via ClickCare all have their own insurance, social security, transport costs, equipment if necessary, etc. The rate you pay to the healthcare provider includes all these costs.

ClickCare also applies a service fee of 14% (excluding VAT).
